DataArk® User Tips & Tricks: 8 Ways to Make ROI/HIM Workflows Work Easier
DataArk’s ROI/HIM module simplifies complex workflows to make compliance and responding to audits or release of information requests easier, faster, and more accurate for busy HIM teams.
Users can enable or disable different configuration options based on user permissions defined in your DataArk system’s ROI/HIM workflow. Once set up, your settings are applied across all your organization’s current and future DataArk projects to ensure a consistent experience.
Here are eight powerful features within DataArk’s ROI/HIM module that can be configured to streamline workflows:
1. Flag Sensitive Patient Data
- Display or Hide Patient Social Security Numbers: Display or hide a Social Security Number in the patient banner.
- Add/View ‘Notes’ to Patient Records: Include or see record notes for a patient visit or individual record
- Apply Watermark and Global Headers: Automatically add watermark text to all records printed from ‘Find Clinical.’ Add a global header with patient identifiers on all pages of the ROI.
- Set a “Break the Glass” Flag: For patients/accounts requiring attestation on access attempts, enable a ‘lightbox’ that users must acknowledge before accessing the record. You can also require users to enter reasons for access and/or create a DataArk HIPAA log entry to document access acknowledgment and reasons, if needed.
2. Manage Patient Records Efficiently
- Add a New Patient: Create the patient record including the name, date of birth, MRN, and MPI number.
- Edit a Patient MPI (Master Patient Index) record: Edit master patient records in the clinical module.
- Merge Patient Records: Link patient records to create a merged patient record, which can also be unmerged.

- Record Corrections: Change record status to Addend, Amend, or Strike-Through.

- Add a Patient Header: Add patient/facility/site information to pages of your ROI response.
- Add a ROI Footer: Add a footer to your ROI response.
- Include a Facility Address: Add the address, city, state, and zip code as a customized header for an ROI release.
- Add Separator Pages and Specify Sort Order: Include separator pages between accounts, DataArk categories, or both in responses. Sort pages based on your specified order, which is dependent on the separator page configuration.
6. Manage Accounts Placed on Legal Hold
- Streamline Account Management: Add, view, or manage accounts placed on legal hold through the dashboard.
- Lock Down Accounts: Freeze accounts you specify from being modified, moved, or deleted.
7. Process Purge Requests with Ease
- Setup and Manage Rules for Purge Requests: Set rules for purge requests and enable authorized users to authorize or reject purge action over accounts. Allow users with access to view records and status of the purge request.
8. Automatically Generate Reports for Compliance and Audits
Create and send reports: Create custom audit and legal reports and generate print-ready PDFs. Send reports directly to different types of requirements—whether for internal auditing, legal teams, or physician review.
